Description

You will provide administrative and financial support for Horizon Europe and ERC projects, including pre-award project management assistance for researchers. The role covers the full project management cycle: preparation, implementation administration, ongoing and final reporting, and project close-out, with close cooperation with scientific teams and the institute’s economic and personnel departments. You will also actively work in the EU Funding & Tenders Portal to maintain up-to-date project data.

Responsibilities

  • Prepare new Horizon Europe and ERC project proposals

  • Monitor relevant calls and funding opportunities; inform researchers about suitable options and call conditions

  • Advise on administrative and formal requirements for proposal preparation

  • Support preparation of budgets and administrative/financial/institutional parts of applications

  • Check formal requirements and coordinate submission of proposals

  • Prepare supporting materials for approved project start-up

  • Apply current Horizon Europe and ERC rules in day-to-day project practice

  • Coordinate with national contact points and other institutions supporting Czech research participation

  • Administer Horizon Europe (including ERC) projects as an administrative partner to project leads

  • Manage administrative and financial project operations

  • Track budgets, spending, and cost eligibility according to project rules

  • Monitor schedules, deadlines, project obligations, and provider requirements

  • Prepare and coordinate administrative/financial inputs for interim and final reports

  • Administer project changes, contractual documentation, and related records

  • Maintain project data in the EU Funding & Tenders Portal

  • Coordinate cooperation between researchers/scientific teams and economic, HR, and other institute units

  • Communicate with the funding provider and relevant institutions

Requirements

  • Completed university degree

  • Experience in project or grant management (ideally international research projects)

  • Orientation in Horizon Europe and its calls, including European funding mechanisms (e.g., COST, LIFE)

  • English proficiency at least B2 (C1 is an advantage)

  • Ability to work with project budgets and financial documents

  • Ability to understand and apply rules from grant, contract, and methodological documents

  • Strong organizational and communication skills

  • Ability to coordinate collaboration across researchers, administration, and external partners

  • Independence, accuracy, responsibility, and ability to handle multiple tasks and deadlines

  • Very good MS Office skills, especially Excel
