• Role: Back Office Specialist (part-time)

• On-site requirement: Vimperk office, 4× per week (10:00–14:00)

• Remote work: Home office about 1× per week (opportunity)

Description

Support daily office operations in Vimperk and manage administrative tasks connected to technology, travel, and company facilities. You’ll handle purchasing and record-keeping for office supplies and hardware, coordinate deliveries and event/marketing orders, and communicate with vendors—including resolving shipments and customs clearance. You’ll also book flights/hotels for business trips and prepare travel advances and review travel expense reports.

Responsibilities

• Buy office supplies, equipment, and hardware; maintain hardware evidence/records

• Ensure the office runs smoothly (mail and packages, ordering lunches in Vimperk)

• Place orders for marketing and events and coordinate delivery

• Sell and run an internal exchange/bursa for older equipment

• Communicate with suppliers and handle shipments including customs clearance

• Book flights, hotels, and other accommodation for business trips in the Czech Republic and abroad

• Prepare travel advances and verify travel expense reports

Requirements

• Independent, careful, and well-organized

• Present in the Vimperk office 4× per week (10:00–14:00)

• Ability to oversee multiple tasks at once and complete them

• Proactive approach to practical tasks and administration

• Strong sense of order in documents, records, and numbers

• Ability to communicate with colleagues, vendors, and partners

• Communicative English

• Administration/back office experience is an advantage
