Description

The Area Specialist provides administrative support for 1–3 customer center locations, supporting cash flow activities, employee health & safety, policy compliance, and facility oversight. The role also assists with HR and Finance activities and may support objectives in Sales, Service, or Operations. Responsibilities include resolving disputed customer invoices, managing vendor and customer account changes, and supporting reporting and decision-making.

Responsibilities

• Resolve disputed customer invoices; process portal invoices; manage credit memos; reconcile cash and credit card transactions; assist with credit worthiness decisions.
• Set up new customer/vendor accounts; manage account changes; ensure compliance with Goods Received Not Invoiced (GRNI).
• Manage indirect purchasing to keep customer centers properly resourced (facility services, office equipment, office & safety supplies).
• Handle phones, incoming/outgoing mail, and office filing.
• Complete customer/contractor forms and questionnaires; request certificate of insurance.
• Manage training calendar and employee engagement events, including ordering catering and supplies.
• Coordinate facility maintenance with local Service Supervisor and ensure employment law and EHS regulatory compliance.
• Collaborate with Finance on data for reporting and decision-making; monitor policy compliance and address discrepancies.
• Support Area Operations Manager with reports, special requests, and assigned projects.

Requirements

• High school diploma or GED
• At least 2 years of related experience
• Proficiency in MS Office
