• Role: Digital Tools and Automation Coordinator (part-time approx. 0.5–1.0 FTE)

Description

You will connect digital tools, automate internal processes, and find new opportunities to use AI to save colleagues time and reduce routine administration. You will help implement AI-assisted internal knowledge search and AI assistants/agents, build automations between platforms such as Notion and Slack (e.g., via Make), and maintain a Notion workspace for internal documentation and process management. You will also support digital security practices for accounts, permissions, and safe data handling.

Responsibilities

• Identify and implement AI and automation opportunities to reduce administrative workload
• Deploy AI-enabled internal knowledge search and AI assistants, progressing toward AI agents connected to existing systems
• Create automations between Notion, Slack, Google Workspace, and other platforms (e.g., using Make)
• Own and continuously improve the Notion platform: databases, forms, workflows, and overall clarity
• Manage digital security: accounts, access permissions, and safe handling of data in collaboration with external IT
• Support other teams in adopting digital tools and new procedures; explain and teach them clearly

Requirements

• Active use and monitoring of new AI capabilities; experience with AI agents
• Experience building automations using Make, Zapier, n8n (or similar)
• Ability to integrate systems via API
• Familiarity with Notion or the ability to learn advanced Notion capabilities
• Ability to analyze workflows, recognize friction, and propose simplifications
• Understanding of digital security and data protection principles
• Ability to communicate with less technical colleagues and patiently explain new processes
• Independent working style, willingness to learn, and ability to deliver ideas to completion
• Interest in applying skills to work with real social impact
