Workforce Operations & Talent Reporting Coordinator

Key Responsibilities
Operational Reporting & Data Management
- Maintain and update the Monthly Management Meeting (MMMM) file, including tracking of INs, OUTs, and EP/SP data
- Prepare and lead the MMMM process: verify accuracy of all information and complete any missing data points prior to the meeting
- Update the Operational Workbook (OW) across Engineering (ENG) and Project tabs on an ongoing basis
- Reconcile MMMM data with automatic IN/OUT reports generated by HR to ensure consistency
- Identify and correct discrepancies between the Operational Workbook and Timesheet data
- Conduct regular Es & Ps (Engineers & Projects) checks in collaboration with all Business Managers
Consultant Onboarding Coordination
- Cross-reference the MMMM to identify upcoming consultant start dates and onboarding requirements
- Confirm on-site attendance for each new consultant's onboarding session directly with the responsible Business Manager
- Coordinate and clarify ownership of BM and TD presentations for each onboarding session
- Draft and distribute recap emails to all stakeholders involved in the onboarding process
Inter-Contract Engineer (IC) Management
- Leverage Operational Workbooks (all US locations) to identify consultants entering IC status
- Verify whether each new IC consultant's profile exists in the IC Database; create or flag as needed
- Maintain up-to-date consultant status entries in the IC Database
- Report data inconsistencies and status gaps to VPs in a timely manner
- Present a summary of current ICs during the recurring BM and Recruitment meeting, including status updates, next steps, and identified opportunities
Qualifications
Required
- 2–4 years of experience in workforce operations, talent operations, HR coordination, or a related field
- Demonstrated experience managing and reconciling complex data across multiple systems or files (spreadsheets, ERP, SharePoint, ATS, HRIS, or similar tools)
- Strong proficiency in Microsoft Excel including use of formulas, pivot tables, and cross-tab reconciliation
- Exceptional attention to detail with the ability to catch and correct data inconsistencies proactively
- Strong written communication skills — comfortable drafting professional recap and coordination emails to stakeholders at all levels
- Ability to manage multiple deadlines simultaneously in a fast-paced environment
- Experience working cross-functionally with HR, Business Managers, or Sales/Operations teams
Preferred
- Background in engineering services, staffing, consulting, or professional services environments
- Experience preparing or contributing to executive-level operational meetings or reporting cycles
