Description

You will work closely with project leadership to provide on-site administrative support and act as the first point of contact for organizational and content-related questions. You will prepare and organize relevant information, coordinate project participant entries and exits, and ensure smooth processes by maintaining up-to-date project data and access. You will support collaboration and documentation using tools such as RDB, JIRA, and SharePoint, and organize meetings including structured follow-up documentation.

Responsibilities

  • Support project leadership with administrative tasks on site

  • Serve as an interface for project participants; first contact for questions

  • Prepare relevant information and assist with project-related topics

  • Coordinate project participant entry/exit and ensure smooth workflows

  • Maintain relevant data and access; keep project information up to date

  • Use collaboration and documentation tools (RDB, JIRA, SharePoint) as needed

  • Organize meeting formats, prepare agendas and materials, and document results

  • Support site-related topics in coordination with the Facility team, including workshop/meeting room setup and follow-up

Requirements

  • Completed degree in project management, a comparable field of study, or a commercial/technical vocational qualification with several years of professional experience

  • Relevant knowledge/experience in assistant functions, ideally supporting project management

  • Independent and structured working style

  • Solid knowledge of common Office applications (Microsoft 365)

  • Basic knowledge of SharePoint and DMS (preferred)

  • High willingness to work, persistence, communication skills, initiative, and patience
