IT Procurement Specialist with German

Responsible for independently managing procurement activities within the assigned IT goods and services category, primarily IT Services and also Hardware, in accordance with corporate policies and standards. Ensures smooth operational and administrative processes, coordinates offer- and contract-related documentation, and supports analyses, market feedback, and operational optimization initiatives.

Support global procurement and contract management activities from Poland.

Key Responsibilities

Procurement & Tendering

  • Manage end-to-end procurement processes for IT Services and IT Hardware.
  • Source, evaluate, and negotiate with national and international suppliers.
  • Coordinate purchasing activities from demand identification through purchase order placement and invoice approval.
  • Support contract negotiations and manage supplier agreements and service contracts.
  • Collaborate closely with IT, Finance, Legal, and stakeholders across international offices.
  • Develop and maintain strong supplier relationships and performance management processes.
  • Support tender procedures and supplier selection.
  • Negotiate prices and terms.
  • Prepare and coordinate contract documentation with departments and lawyers.
  • Manage procurement and supplier communications.

Supplier Management & Market Observation

  • Participate in supplier relationship management.
  • Monitor markets and identify cost-optimization opportunities.
  • Report risks and recommend improvements.

Process & Organizational Support

  • Coordinate operational purchasing activities.
  • Maintain contracts, orders, and invoices in systems.
  • Prepare data for controlling, reporting, and auditing.
  • Support process improvements in IT purchasing.

Compliance & Collaboration

  • Support compliance with policies, laws, and corporate standards.
  • Coordinate legal and compliance topics with stakeholders.
  • Collaborate with IT, suppliers, and internal departments.
  • Participate in meetings and project teleconferences.

Your Profile

  • Bachelor’s or Master’s degree in Business Administration, Information Technology, Economics, or a related field.
  • Understanding of procurement and purchasing processes.
  • Analytical and organizational skills.
  • Excellent negotiation, communication, and stakeholder-management skills.
  • Analytical mindset with a structured and proactive approach to work.
  • Strong communication skills and ability to work in a team.
  • Fluency in English and German; work takes place in an international environment.
  • Several years of professional experience in IT procurement, strategic sourcing, contract management, or a comparable role.
