PMO Specialist

PMO Specialist – Project Controls & Time ReportingWe are looking for a PMO Specialist to join the project management team and support project controls, resource administration and time reporting processes across the project portfolio.The role combines operational PMO activities, data management, reporting and close cooperation with Project Managers and the Controlling team. The ideal candidate is organised, detail-oriented and comfortable working with processes, systems and multiple stakeholders.Key ResponsibilitiesMaintain and update project plans, project data and resource assignmentsSupport onboarding and offboarding of project team members, including system access and timesheet setupMaintain accurate project team and resource databasesProvide first-line support for time reporting and related system issuesSupport users and approvers with time reporting processes and provide basic guidance when neededPrepare regular and ad-hoc reports for project and business stakeholdersCoordinate month-end time reporting activities, including reminders, period closing and approval follow-upsWork closely with Project Managers, project teams and Controlling to ensure smooth and accurate processesMonitor compliance with project governance and time reporting standardsIdentify and support improvements to existing PMO and reporting processesRequirementsPrevious experience in PMO, project administration, project controls or a similar roleGood understanding of project management processes and resource coordinationExperience with time reporting, timesheets or project-related reportingStrong organisational and analytical skills with attention to detailGood Excel and reporting skillsAbility to work independently and manage multiple tasks and stakeholdersGood communication skills and a proactive approachEnglish proficiency at a level allowing effective communication in an international environmentNice to HaveExperience working with project management or time-reporting toolsExperience in a larger, international organisationBackground in Controlling, Finance or project cost managementFamiliarity with project governance and month-end closing processes
