Description

Lead business transformation and process optimization across Sales, Finance, Delivery, and People, with a focus on replacing and consolidating key systems (especially Salesforce-related sales functions). Own end-to-end process mapping and optimization, assess the current systems landscape, and define the system-of-record for core data (client, deal, project, person, rate, working time, invoice). Coordinate requirements for integrations and improvements, oversee migrations (including PeopleForce replacement), manage the program plan, and deliver change communication.

Responsibilities

• Run process audits with Sales, Finance, Delivery, and People stakeholders; identify inefficiencies and improvement opportunities
• Map and optimize end-to-end business processes, especially the sales process and CRM/sales capabilities replacement plan
• Assess current systems landscape; decide what to retain, replace, consolidate, or discontinue
• Map data flows between HubSpot, Salesforce, Productive, PeopleForce, enova, and NG OS, including manual re-entry points
• Define source of truth for key data: client, deal, project, person, rate, working time, invoice
• Gather requirements for integrations, process improvements, and new features; prioritize with tool owners and development teams
• Oversee system migrations and consolidation, including PeopleForce migration to an internally developed platform (requirements, completeness, validation, sign-off)
• Manage the program plan (schedule, dependencies, decisions)
• Design and deliver change communication
• Act as a filter for new process/tool ideas to ensure alignment with business priorities, operational efficiency, and overall system architecture

Requirements

• 5+ years in transformation, process excellence, PMO, or operations at a company of 200–1,000 people
• Fluent English and Polish
• Experience leading cross-functional process optimization and business systems transformation initiatives
• At least one system decommissioning, consolidation, or replacement (CRM, PSA, ERP, HRIS), from audit to sign-off
• Integration requirements design (master data, sync direction and frequency, error handling)
• Write requirements for an in-house development team and prioritize backlog with the product owner
• Data migrations experience: field mapping, cleansing, validation, GDPR
• Systems thinking and process modeling
• Experience working with senior stakeholders, including the management board
• Ability to hold decisions under pressure
• Ability to communicate with developers as an equal without coding
• Program management experience (schedule, dependencies, decisions)
