Role Overview

We are seeking a structured, delivery-focused PMO & Governance Specialist to drive clarity, control, and pace across a complex technology transformation program. In this role, you will act as a vital bridge between multi-disciplinary engineering streams and executive leadership, ensuring seamless communication, robust risk management, and predictable delivery within a German-speaking business environment.

Key Responsibilities

  • Governance Framework & Operations: Support the establishment and ongoing management of the program governance model, reporting structures, meeting cadence, and delivery routines.
  • Risk & Control Management: Maintain and actively manage RAID logs (Risks, Assumptions, Issues, Dependencies), decision records, and milestone tracking across all active workstreams.
  • Executive Reporting & Steering: Synthesize stream-level inputs into high-quality steering committee decks and executive status reports in both German and English.
  • Cross-Functional Stream Alignment: Drive coordination across diverse workstreams, including E2E Architecture, Vendor/Provider Management, Product/Operations, Change Management, and Quality Assurance.
  • Delivery & Quality Tracking: Monitor deliverable progress, enforce quality gates, track action items, and ensure strict adherence to deadlines and SLAs.
  • Resource Management: Assist with capacity planning, resource tracking, and the onboarding of global delivery services (GDS) resources into the program.
  • Tooling Standardization: Ensure consistent utilization and health of project tooling, including Jira, Azure DevOps, Confluence, Excel trackers, and PowerPoint reporting assets.
  • Stakeholder Interface: Act as a key point of contact for onsite coordinators, client-facing teams, and client counterparts as required.

Skills & Attributes for Success

  • Proven PMO discipline and track record in large-scale, multi-stream transformation environments.
  • Strong synthesis skills—ability to translate technical details and fragmented updates into concise executive messages.
  • Excellent verbal and written communication in both German and English, with strong skills in documenting workshops and key decisions.
  • High confidence in engaging with senior business leaders, distributed delivery teams, and onsite coordinators.
  • Advanced proficiency in PowerPoint and Excel for data visualization and executive reporting.
  • Sound working knowledge of modern delivery methodologies: Agile, Scrum, Kanban, or Hybrid frameworks.

Must-Have Qualifications

  • Professional Experience: Hands-on experience in a PMO, Project Management, or Program Governance role within Financial Services or Technology Transformation.
  • Governance Tooling: Demonstrated experience building and maintaining RAID logs, action trackers, and executive status packs.
  • Language Proficiency: Business-fluent English and very strong German (minimum C1), capable of leading meetings and drafting materials in both languages.
  • Mobility: Willingness to work in a hybrid setup with at least 50% onsite presence and willingness to travel to Germany based on project requirements.
  • Mindset: Exceptional organizational skills, high attention to detail, and a proactive ownership mindset.

Preferred Qualifications

  • Industry domain knowledge in Wealth & Asset Management, Banking, Capital Markets, Securities, or Fund Operations.
  • Familiarity with enterprise work management tools such as Jira, Confluence, or Azure DevOps.
  • Recognized project management certifications, such as PRINCE2, PSM, AgilePM, or PMP.
  • Prior experience interfacing directly with stakeholders in the DACH region (Germany, Austria, Switzerland).
