Full Time | Monday–Friday | 8am - 5pm | Infusion Center-Based
Location will primarily be in Ocala, but may occasionally support the Gainesville clinic.

We're looking for a Front Desk Coordinator with more than just a friendly face — we're looking for a calm, capable operations professional ready to help redefine the patient experience from the moment someone walks through our doors. This is a high-impact, patient-facing role where attention to detail, healthcare expertise, and an ownership mindset make all the difference. From managing appointment scheduling and verifying insurance to setting the tone for each visit, you'll be a key part of what makes the care experience exceptional.

About the Role

As a Front Desk Coordinator, you'll play a critical role in shaping the care experience for patients. This Monday-Friday, regular business hours role involves providing exceptional service as the first point of contact while supporting the daily operations of infusion centers. From managing schedules to maintaining patient records, your work will ensure that centers run smoothly and patients feel valued.

What You'll Do

  • Lead First Impressions — Greet patients with warmth and professionalism, answer phones, and support visitors with confidence and care
  • Manage Scheduling and Coordination — Schedule, reschedule, and confirm appointments, ensuring all pre-visit requirements and authorizations are in place
  • Ensure Operational Excellence — Verify patient insurance, update demographic information, and collect copays with accuracy and integrity
  • Collaborate with Clinical Teams — Coordinate patient flow and communicate clearly with nursing staff to ensure a smooth and safe experience
  • Maintain an Inviting Space — Keep the front desk and reception area organized and stocked, maintaining a welcoming, polished environment
  • Support Across Centers — Provide support to other centers within the market during staff absences or high-volume days

What We're Looking For

  • 1–3 years of front desk or administrative experience in a medical or healthcare setting
  • High School Diploma or GED required
  • Strong understanding of insurance verification, billing basics, and the patient intake process
  • Proficiency in EHR/EMR systems and scheduling software
  • Knowledge of medical terminology and patient-facing protocols
  • Exceptional customer service and communication skills
  • Ability to multitask in a fast-paced environment while staying organized and accurate
  • Adaptable and dependable, with willingness to support multiple centers

In this role you will be responsible for: - Communicates significant findings, problems, changes in condition or environment to the primary care providers and other personnel involved with patient care - Performs well under stress and in emergency situations - Assumes primary responsibility for "after hours" including planning, coordinating, implementing, and assisting with the evaluation of the plan of care for patients, families and facilities - Develops and maintains positive working relationships with others. Helps others when needed without necessarily being asked to do so - Maintains confidentiality of patient and employee information. Shares information only in accordance with policy - Answer telephone calls after hours and responds to any concern or change in patient condition - Provides support and direction to agency staff, health care professionals patients, and families related to health care concerns Required Qualifications - High School Diploma or GED - Minimum one (1) year of experience in medical field, medical office experience or related position - Ability to operate computer equipment, Fax and photocopy machines necessary - Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint - Knowledge of medical terminology - Excellent verbal and written communication skills Desired Qualifications - CNA or MA certification preferred - Experience with geriatric population and/or caregivers preferred - Familiarity with Ethizo EMR preferred Hours Four days per week with an every other weekend rotation 3 week days, weekend, 3 week days, off weekend In office: 11 a.m. to 4 p.m. or 11 a.m. to 5 p.m. Lunch: 4 p.m. to 5 p.m. or 5 p.m. to 6 p.m. Remote: 5 p.m. to 10 p.m. or 6 p.m. to 10 p.m. Pay Range $18—$22 USD How We Care for You - Minimum of 3 Weeks Paid Time Off (PTO) - Medical, Dental, and Vision Insurance - HSA and FSA options including Dependent Care - Company paid Short Term Disability - Company paid Life Insurance - 401(k) with Employer Match - Mileage Reimbursement - Company Vehicle Program for field roles - Pet Insurance - ID and Fraud Protection - And more...
