The role

The Workplace Coordinator ensures smooth office operations by managing inventory, liaising with building management, and supporting administrative tasks. The role includes onboarding new starters, ordering kitchen and office supplies, and providing ad hoc administrative support. The Workplace Coordinator helps maintain an organised, efficient, positive, and productive workplace.

What you’ll do

  • Ensure the smooth and efficient operation of the office, while supporting the management team and other departments as required.
  • Own the workplace experience, ensuring the office is organised, welcoming, and runs smoothly.
  • Liaise with building management and maintenance providers to ensure timely resolution of office-related issues.
  • Greet visitors and coordinate refreshments to provide a professional and friendly guest experience.
  • Manage meeting room bookings, ensuring rooms are clean, presentable, and tech-enabled.
  • Support planning and execution of internal and external events, including setup, pack-down, and catering logistics.
  • Monitor and manage kitchen and office-supply inventory, ensuring stock levels are maintained.
  • Build and maintain relationships with vendors, including catering, cleaning, office-supply, and merchandise partners.
  • Source and assess new vendors as required to meet office needs and improve service quality.
  • Provide ad hoc administrative support to the Senior Leadership Team and assist other departments as needed.
  • Support onboarding by preparing desks and welcome kits, conducting office tours, and coordinating Day 1 logistics.
  • Track and manage employee merchandise inventory, including sizes and preferences, and coordinate distribution.
  • Maintain and update monthly office noticeboards with engaging themes, team wins, and visual content.
  • Assist with people tasks, including HR administration, birthdays, and milestones, and support People & Culture as required.

What you bring

  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Detail-oriented approach with a high level of accuracy.
  • Proficiency with office software, including MS Office: Excel, Word, and Outlook.
  • Experience in office administration or a similar role.
  • Ability to work collaboratively with internal teams and external partners.
  • Problem-solving skills and ability to address issues proactively.
  • Fluency in Polish and English.

Compensation

66,000–156,000 PLN gross per year, depending on experience.
