Barbaricum is seeking a Procurement and Acquisition Support Specialist to provide procurement, purchasing, and acquisition support for Department of Defense (DoD) programs. The successful candidate will support the acquisition of materials, equipment, software, and services while ensuring compliance with Government policies, contractual requirements, and organizational procedures. This position requires strong analytical, organizational, and customer service skills to manage procurement activities, track budgets, monitor purchase requests, and coordinate with Government stakeholders and vendors to ensure timely delivery of mission-critical resources.

Responsibilities

  • Provide procurement and acquisition support for Government programs by coordinating the purchase of materials, supplies, equipment, software, and services in accordance with Government policies and approved procurement procedures.
  • Prepare, process, and monitor purchase requisitions, purchase orders, and procurement documentation to ensure timely execution of program requirements.
  • Analyze procurement requirements, identify qualified vendors, obtain competitive quotes, evaluate product availability, and develop cost estimates to support purchasing decisions.
  • Track procurement requests from initiation through delivery, maintaining accurate records of purchase status, funding, vendor information, invoices, and Government approvals.
  • Develop and maintain procurement tracking systems, dashboards, and reports that provide visibility into purchasing activities, project expenditures, budgets, and procurement metrics.
  • Prepare recurring procurement status reports, purchase summaries, and financial tracking documentation for Government leadership and program managers.
  • Support procurement planning activities by forecasting purchasing requirements and coordinating with program teams to ensure resources are available to meet project schedules.
  • Assist with budget tracking and maintain procurement-related financial documentation to support cost management and program execution.
  • Coordinate with Government personnel, vendors, subcontractors, and internal stakeholders to resolve procurement issues, expedite deliveries, and ensure customer requirements are met.
  • Prioritize urgent procurement actions while ensuring routine purchases are processed efficiently and within established timelines.
  • Support the application of Defense Priorities and Allocations System (DPAS) ratings and other Government-directed procurement priorities when required.
  • Ensure information technology (IT) purchases comply with applicable Government cybersecurity, network connectivity, and organizational purchasing policies.
  • Develop and maintain procurement process documentation, standard operating procedures, points of contact, and workflow guidance to improve efficiency and consistency.
  • Gather, organize, and maintain procurement records, supporting documentation, and background information required for audits, program reviews, and acquisition activities.
  • Identify opportunities to improve procurement processes, purchasing workflows, reporting capabilities, and operational efficiencies while ensuring compliance with Government regulations.
  • Perform additional procurement, acquisition, and administrative support duties as assigned in support of Government mission requirements.
