SharePoint Online Administrator (Intermediate)

Due to continued growth, we are hiring an experienced SharePoint Online Administrator with experience in governance, information architecture, identity and access management, external collaboration, and Microsoft 365 security and compliance activities. You will work closely with ICT leadership, the Applications Development and Support Manager, and business stakeholders to ensure the SharePoint environment remains secure, compliant, well governed, usable, and fit for future growth.

Key Responsibilities

SharePoint Online administration

  • Administer and support the SharePoint Online environment.
  • Manage SharePoint sites, document libraries, permissions, and governance controls.
  • Support the administration of Microsoft Teams-connected SharePoint sites.
  • Troubleshoot and resolve SharePoint Online issues and service incidents.
  • Support users and business units with SharePoint administration and configuration.

Governance and lifecycle management

  • Implement and maintain SharePoint Online governance standards.
  • Support site provisioning and configuration processes.
  • Conduct site ownership and access reviews.
  • Establish and manage site lifecycle processes covering creation, review, archival, and decommissioning.
  • Identify inactive, redundant, or poorly governed sites and recommend appropriate action.
  • Develop and maintain operational procedures, standards, and documentation.
  • Review the SharePoint environment and identify opportunities for improvement.

Security and access management

  • Review and optimise SharePoint permissions and access controls.
  • Manage security groups and sharing configurations.
  • Apply least-privilege and Microsoft Zero Trust principles.
  • Administer external sharing and collaboration.
  • Manage guest and external users through Microsoft Entra ID.
  • Support access reviews and external-user governance.
  • Help ensure appropriate security controls are applied to SharePoint content and collaboration environments.

Information architecture and content management

  • Work with business units to design effective SharePoint information architectures.
  • Advise on site structures, document libraries, metadata, and navigation.
  • Support content audits and content rationalisation.
  • Assist with migration and content lifecycle activities.
  • Promote consistent and sustainable information-management practices.

Microsoft 365 security and compliance

  • Support the implementation and administration of Microsoft Purview sensitivity labels across SharePoint Online.
  • Support retention and records-management requirements.
  • Assist with Data Loss Prevention (DLP) controls.
  • Support the implementation of appropriate information-governance and compliance measures.
  • Ensure SharePoint practices align with applicable data-governance requirements, including GDPR, NIS2, and relevant emerging regulatory requirements.

Stakeholder engagement and reporting

  • Participate in project meetings, governance forums, and working groups.
  • Work directly with business stakeholders to understand requirements and recommend appropriate solutions.
  • Provide regular progress updates, reports, and recommendations.
  • Identify opportunities to improve the security, governance, usability, and operational efficiency of the SharePoint environment.

Requirements

  • 4+ years' professional experience administering and governing Microsoft SharePoint Online.
  • Degree/higher qualification in Computer Science, IT, or a related discipline.
  • Microsoft 365 Certified: Administrator Expert (MS-102) is highly desirable.
  • Experience administering and governing Microsoft SharePoint Online and Microsoft 365 collaboration services integrated with SharePoint Online, including Microsoft Teams and Microsoft Entra ID.
  • Experience reviewing SharePoint Online environments, identifying improvement opportunities, and implementing governance, security, and operational enhancements.
  • Experience with SharePoint Online design, implementation, and administration, including:
    • Site and document library administration.
    • Permissions, access control, and security management.
    • Site lifecycle management and governance.
    • External sharing and collaboration management.
    • Microsoft Entra ID guest-user and external-access management.
    • Extranet administration and external-user governance.
    • Integration with Microsoft Teams, OneDrive, and Microsoft 365 collaboration services.
  • Experience developing and implementing governance frameworks, standards, policies, and operational procedures for SharePoint Online environments, particularly with local authorities or similar organisations.
  • Strong portfolio of previous projects reviewing environments, recommending changes, and successfully implementing those changes.

Initial 6-month contract for a 1.5-year project, hybrid in Dublin. Start date: October 2026.
