District Data Entry Specialist (Part-Time)

We are seeking a detail-oriented and reliable District Data Entry Specialist to join our team on a part-time basis (27.5 hours per week, Monday through Friday). Shifts are 5.5 paid hours per day (plus a 30-minute unpaid lunch) and are assigned within the window of 9:00 AM - 5:00 PM EST; specific shift times may vary by assignment). This role is dedicated to accurately and promptly entering school events into GoFan HQ and via CSV imports based on incoming requests routed through Customer Success and Support teams. Same-day entry and unwavering accuracy are the core expectations, as every event directly impacts school revenue and performance.
The Outcomes You’ll Deliver
- Same-Day, Accurate Event Entry: Enter every event request in GoFan HQ or process via CSV import the same business day according to each school’s specifications.
- High-Quality Data Standards: Ensure event records are complete, correctly formatted, and self-reviewed before submission.
- Organized Request Management: Track and process incoming requests systematically so none are missed or duplicated.
- Proactive Issue Resolution: Flag unclear or incomplete details immediately to avoid delays.
Event Entry
- Create events manually in GoFan HQ based on provided specifications.
- Process bulk uploads via CSV import when applicable.
- Validate dates, times, activity type, ticketing structure, pricing, and event names prior to submission.
- Correct and resubmit entries based on internal feedback.
Quality Assurance
- Self-review every entry for completeness and accuracy.
- Adhere to established data entry and formatting standards.
- Identify and resolve discrepancies before proceeding with entry.
Request Coordination
- Monitor and manage an ongoing queue of event entry requests.
- Communicate promptly with internal teams when clarification is needed.
- Prioritize same-day processing to ensure events are live on time.
Tracking and Accountability
- Maintain a daily log of completed entries and open requests.
- Proactively surface backlog risks or volume spikes to your supervisor.
Technical Proficiency
- Comfort working in web-based platforms; experience with GoFan HQ or similar tools is a plus.
- Familiarity with CSV file preparation and data import processes.
- Proficiency in Google Sheets or Microsoft Excel.
- Comfort using AI tools (e.g., ChatGPT, Claude) to interpret and process complex schedules.
