Team Overview

The Sr. Administrative Assistant serves as the strategic and operational partner to the Vice President of the Blackstone Legal Fellowship. In this high-impact role, you provide executive-level administrative leadership, manage complex judicial and professional development data, and coordinate cross-team initiatives that support Blackstone's long-term talent and judicial strategy. You will regularly engage with senior leaders, judges, Fellows, faculty, and external partners—requiring sound judgment, discretion, and professionalism. Success depends on anticipating needs, handling sensitive information, streamlining systems, and driving excellence in a fast-paced, mission-driven environment. This position is based in the ADF Virginia office with occasional travel to Blackstone events.

Key Responsibilities

Executive & Administrative Support

  • Provide executive-level administrative support to the VP, including calendar management, scheduling, and preparation of agendas, briefing documents, and follow-up materials.
  • Coordinate domestic and international travel, produce detailed itineraries, and manage expense submissions with accuracy and discretion.
  • Draft and coordinate routine communications related to the Blackstone team, including the weekly ADF newsletter, and manage the Blackstone Team Calendar.
  • Review monthly accounting reports to support budget preparation and program expense tracking; communicate and track corrections with the Accounting Team; review and approve the Blackstone Legal Fellowship Team's expense reports.
  • Assist the VP with Legal Review requests and coordinate recognition awards with Finance and HR as directed.

Program Coordination & Cross-Team Collaboration

  • Coordinate meetings and working sessions related to Professional Development initiatives, ensuring clear agendas, timely materials, and effective follow-through.
  • Partner with internal departments including Finance, HR, Legal, and Communications to support program execution and operational alignment.

Confidentiality, Strategic Partnership & Special Projects

  • Handle sensitive and confidential information with professionalism and discretion; anticipate executive needs and proactively recommend solutions aligned with the VP's priorities.
  • Lead and support special projects, research assignments, and cross-functional initiatives as directed by the VP.

Minimum Qualifications

  • Bachelor's degree in Business Administration, Communications, Political Science, or a related field.
  • 5+ years of senior‑level administrative or executive assistance experience.
  • Proficient in Microsoft Word, Outlook, PowerPoint, and Excel for data tracking, reporting, and analysis, and Adobe Acrobat Pro.

Preferred Qualifications

  • Prior experience supporting senior leadership.
  • Experience in data tracking, reporting, program coordination, or similar operational roles.
