Client Services Associate

Reports To: The Client Services Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Job Overview

The Client Services Associate provides exceptional office and mail services, delivering operational functions in the following areas: processing of inbound/outbound mail, distributing/delivering of mail, shipping and receiving product and supplies to support onsite business service center, replenishing/organizing/ordering office supplies (pens, paper, toner), ensuring copy/print machines are functional and stocked, serving as a backup to the front of office (reception/concierge), and providing light maintenance/cleaning.

This position continuously offers the highest level of service while maintaining a professional image by providing prompt, courteous and efficient service.

Duties and Responsibilities

  • Provide 5-star customer service in all forms of communication
  • Receive, sort, and input inbound mail/packages into chain of custody software
  • Manage outgoing mail/package transactions
  • Perform shipping and receiving duties
  • Notify employees of inbound deliveries and distribute mail/packages
  • Act as point of contact for mail/package inquiries
  • Operate and replenish multi-function devices (MFDs)
  • Submit work orders as needed
  • Service and replenish pantry, conference, and meeting areas
  • Perform meeting and conference room setups
  • Support building occupant moves and light maintenance/cleaning
  • Maintain Business Service Center organization
  • Monitor and replenish office supplies
  • Assist with copy/print orders and equipment monitoring
  • Train back-up staff on policies and procedures
  • Provide reception or concierge coverage as needed

Competencies

  • Strong verbal and written communication skills
  • Excellent customer service skills
  • PC skills with MS Office Suite experience
  • Ability to multitask
  • Working knowledge of MFD equipment
  • Knowledge of shipping/receiving procedures
  • Ability to validate packing slips and select appropriate packing materials

Qualifications and Education Requirements

  • High School Diploma (or equivalent) required
  • 1+ years prior work experience preferred
  • Ability to work assigned hours
  • Organizational and time management skills
  • Ability to use or learn computer-based systems
  • Professional appearance and adherence to policies

Physical Demands

  • Ability to grasp, lift, and move packages up to 60 lbs. on wheeled cart
  • Ability to lift or move 40 lbs. or more frequently
  • Manual dexterity to operate office machinery
  • Ability to stand, walk, bend, kneel, or sit for extended periods
