We are looking for a highly skilled and proactive Executive Administrator (EA) to provide comprehensive support to several org 3 leaders within our Autonomous Vehicle organization.
This key role at a leading tech company needs strong organization and autonomy. This person will serve as senior leaders' main contact, assisting with scheduling, task prioritization, and project focus. You will also be a key partner in driving critical projects and initiatives forward.
What you'll be doing:
Provide dedicated administrative support.
Skillfully coordinate intricate schedules, prioritizing meetings within the team and with external partners spanning various time zones.
The position will require actively handling and resolving scheduling conflicts, supervising all aspects of meeting organization, and coordinating all logistics related to travel and expenses.
Fulfill the role of key liaison, being responsible for and analyzing communications originating internally and externally. You will craft and evaluate written communications, visual aids, and additional content with meticulous attention to detail.
Assume responsibility for different impromptu assignments to assist the team. This entails researching, crafting presentations, and collaborating with diverse groups to ensure timely completion of project results.
Coordinate all meetings, special events such as off-sites, celebrations, and team-building activities.
Coordinate all travel arrangements and itineraries; negotiate the best rates with vendors and travel agents.
Running and reconciling expense reports and purchase requisitions submissions.
Proficiency in collecting detailed meeting notes, recognizing and supervising action items and follow-ups.
Lead special projects for and with Executives.
Provide backup support for other Executive Administrators.
What we need to see:
Over 8+ years of working experience as an Executive Assistant level assisting Senior leaders
B.S./B.A. degree or equivalent experience
Displays assurance, patience, and integrity in a fast-paced environment
Displays strong interpersonal and multi-tasking abilities while prioritizing tasks
Expert knowledge of Microsoft applications including Outlook, Word, PowerPoint, Excel, SharePoint, and Google Suite applications
Phenomenal teammate with a positive attitude
Ability to work independently and proactively
