Are you a person who thrives in a dynamic organization where you can fully utilize your skills and experience? We are now looking for an experienced and reliable Executive Administrative Assistant to provide general administration and project management support to Executive Staff members and their respective teams. The ideal candidate is highly self-motivated, professional, and capable of managing their work and prioritizing tasks in rapidly changing environment.

What you’ll be doing:

In this role you will support 2 Vice President level executives and their teams to:

  • Schedule meetings & maintain calendars

  • Act as the administrative point of contact between the executives and internal/external clients

  • Balance multiple priorities and requests with appropriate attention to detail, follow up and confidentiality

  • Work individually and with team members to plan and coordinate detailed logistics for events and conferences, including meetings with customers and partners involving webcasting and presentations

  • Maintain an organized system of paper and electronic documents, contact lists, email, and phone records

  • Provide travel itinerary and expense report support

  • Manage and coordinate service contracts and invoices for a variety of functional groups as well as work on special projects as needed

  • Maintain email aliases, org charts, invoice tracking, office supplies, etc as well as plan, schedule and handle general meetings and celebrations

  • Oversee space plans and facilities requirements

  • Provide support to executives outside of normal business hours as necessary

  • Work onsite at our Santa Clara headquarters campus

What we need to see:

  • BA degree or equivalent experience

  • 5 years of experience as an Executive Administrative Assistant reporting directly to senior management

  • Strong organizational, project management and analytical skills with strong multi-tasking abilities

  • Demonstrated ability to work productively in a dynamic high-tech environment

  • Advanced MS Office, Outlook and WebEx capability, including scheduling management for individuals and teams, building PowerPoint presentations, manipulating data in Excel, generating memoranda in Word, and preparing reports

  • Professional level written and verbal communication skills

  • Ability to handle sensitive information with appropriate confidentiality

  • Self-motivated, creative, flexible and use good judgement to accomplish tasks on schedule with minimal direction and supervision

  • Be solution driven with a bias for action. Apply problem solving skills to work through conflict in an effective and professional manner to maintain productive working relationships

Your base salary will be determined based on your location, experience, and the pay of employees in similar positions. The base salary range is 96,000 USD - 161,000 USD.

You will also be eligible for equity and benefits.
