Apps Services is looking for an Administrative Assistant who enjoys a team-oriented environment and who keeps a calm, positive and approachable demeanor at all times. The ideal candidate is focused and committed to ensuring our teams are functioning smoothly and efficiently. They will be highly organized, professional, resourceful and flexible. This role will provide excellent, comprehensive administrative and operational support.

Description

The successful candidate is versatile and able to multitask. They will contribute to and maintain team operations, culture, policies and procedures. The primary focus will be supporting the day to day needs of the team. Coordinate/support on-site meetings, including room reservations, catering and AV requirements. Assist in event planning, including working with small and large scale teams on team building activities. Provide support for several floors, which involves ordering and stocking office supplies, snacks, updating floor plans, submitting facilities and maintenance requests, escorting vendors and submitting access requests. They should be able to work independently, take initiative, see around corners and complete tasks as assigned. You should exercise flexibility and problem-solving abilities to adjust and prioritize schedules based on frequent, last-minute changes. Additionally, you'll be working with a wide range of contacts, from entry-level to executive, and may be exposed to sensitive information requiring discretion and good judgment. Provide backup support to other admins as needed.

Minimum Qualifications

  • Minimum 5 years of professional experience in administrative support, facilities, site management, or related field
  • Must be able to work autonomously, take initiative, and follow tasks through to completion
  • Excellent organizational skills with the ability to effectively manage various priorities in a dynamic, fast-paced environment
  • Positive, team player, proactive, with a can-do with approachable personality
  • Diplomatic when saying no, no task is too big or too small
  • Ability to lift up to 20 lbs, move large boxes of supplies and equipment
  • Able to centralize catering orders and event planning

Preferred Qualifications

  • Experience supporting larger teams
  • Demonstrate a passion for team building, continuous improvement, and collaboration
  • Capable of working with wide range of personalities, across different levels of our teams, and remain calm under pressure
  • Proficient in Mac OS, Keynote, Pages, Numbers, Calendar, eApproval, Work Store, Seat Manager a plus
